The company first selected Vertivia’s mileage management system for the 150-strong fleet within two of its operating companies in a move to completely automate the mileage capture process and reduce the administration associated with running a manual system. 

Following its success, the group has now decided to roll out the system to the rest of its UK businesses, adding about 200 further users with immediate effect. 

The Vertivia system complements the Shell fuel card scheme already in place and is part of the group’s strategy to improve management of vehicle fleet costs, more closely measure the cost of fuel trends, plot mileages and measure its environmental impact more effectively. 

Chris Stockley, director of the project at PaperlinX, said: ‘The Vertivia system works extremely well and all our drivers like it. It is easy to operate, allows drivers to accurately assess the number of miles their journey will cover and they can log in to record the mileage for each journey or at the end of the month, whichever they prefer.

‘It has proved very reliable with no technical hitches and has been shown to be a very accurate way of capturing business miles, hence we had no hesitation in extending its use across the group.’

The Vertivia mileage management technology works by mapping distances between postcodes, which allows business mileages to be calculated automatically. Regular destinations can be saved and reused by drivers as required. The technology can help UK firms save thousands of pounds on mileage reimbursement costs or fuel bills and make serious inroads into their carbon emissions.

‘Our system removes any unexplained variance in the distances that some drivers log when claiming business mileage. This is a much more efficient and accurate way of logging mileage and removes any element of guesswork.

‘For employers, the system can provide improved HMRC compliance and detailed data breakdowns so they can consider alternative reimbursement structures and manage their fleets more effectively. The result is a drop in fuel costs and also in carbon emissions,’ he added.
