New mileage capture system scoops prized digital innovation award

A new online mileage capture system described as the UK’s most HMRC-compliant solution to mileage expenses has won a major industry accolade.

The new app has been 12 months in development from the team at Innovation

Launched after 12 months in development, the Traxmiles app and online system from Innovation Professional Services Ltd not only records mileage automatically so that no journeys are missed but comes with the backing of a 100% full review service. This ensures HMRC compliance, eliminating the risk of hefty tax penalties and ultimately bringing significant savings in both time and money for fleets.

The new solution – already in use by more than 12,000 drivers – has swiftly been recognised for the major benefits it can bring to fleet operators with the 2020 Tolley’s Taxation Best Digital Innovation Award.

Announced on 14 May 2020, the accolade from the pre-eminent magazine for tax professionals recognises how Traxmiles makes the recording of business mileage impressively easy for the driver. Once activated, the app uses unique drive detection technology so that business drivers don’t even need to take their phones out of their pocket; the software will automatically track business journeys easily and effortlessly.

Other features such as journey end pop-ups and one swipe categorisation to accept or delete journeys add to the app’s simple use.

Drivers can also make use of other facilities such as GPS recording of journeys, postcode-to-postcode journey entries and a return journey feature to enable quicker recording of mileage and ensure that tracking business mileage is no longer a chore.

To support drivers even further, Innovation – which specialises in car-fuel, car-related employee benefits and mileage expense – can also help drivers with their own tax relief claims by providing supporting data to complete P87 claims.

Benefits for the fleet include the ability to detect recorded mileage that’s been rounded up – a key sign that mileage claims have been inflated – and the reassurance of a professional review of every journey to a higher level of compliance than even HMRC require.

The Traxmiles Apps also works seamlessly with Innovation’s online mileage system, meaning fleets can switch between both at any time to record and submit business mileage.

The app has already earnt plaudits from fleet and leasing firms that it’s been trialled with. Nick Hardy, sales and marketing director at Ogilvie, said: “We’ve been working John and the team at Innovation for a number of years now, both for our own fleet and in partnership with many of their clients. There is no question that their advice and technology has saved hundreds of thousands of pounds for us and our clients. They are certainly well deserving of their Tolleys Innovation Award and we send our congratulations to the whole of the Innovation team.”

In addition, Ernest Boyd, Group Customer Services & Logistics Manager at Dale Farm Co-Op, said: “I was very pleased to learn that Innovation have won this award. We had been using their previous system which was also very good, but Traxmiles is a significant improvement, with a number of added features. The look and feel and overall experience is also much more positive.

“Innovation recently moved every driver across to Traxmiles – seamlessly – and we still have all the history from the old system visible via Traxmiles. The data is set out by tax year making it easy to find a particular log or journey. Working in logistics I have admin access to the driver records so I can run my own reports and see business journeys in real time as they are added by the driver, which is useful to have in my role. Once again a big congratulations to Traxmiles and to Innovation.”
